Alliance Job Opening: Director of Operations and Member Support

Summary: The Director of Operations and Member Support reports to the Senior Vice President, Marketing and Operations of the Hemophilia Alliance. The position is responsible for the daily operations and interactions with team members. The Hemophilia Alliance Operations and member support include but are not limited to:

Key Functions:

  1. Supports the mission of the Hemophilia Alliance “The Hemophilia Alliance works to ensure member Hemophilia Treatment Centers (HTC) have the expertise, resources and public support to sustain their integrated clinical and pharmacy services for individuals with bleeding and clotting disorders.”
  2. Have an understanding and willing to learn new things about the 340B Drug Pricing Program.
  3. Work with confidential information and uses discretion when interacting with members, partners, manufacturers and the public.
  4. Strive to conduct video and phone conferences effectively and efficiently while using current technology in a variety of platforms.
  5. Oversee the maintenance of the Hemophilia Alliance website and manage its technology needs and changing requirements.
  6. Participates in the development and implementation of the approved communications strategic plan.
  7. Work with the Hemophilia Alliance GPO, Advocacy, Membership, and Communication teams/consultants to provide operational support and assistance as necessary.
  8. Highly motivated to take on other duties that arise as a result of changes in the bleeding disorders community and the healthcare arena.
  9. Accounting:
    • Enter invoices, deposits, checks and budget into QuickBooks
    • Review invoices as necessary so expenses are categorized properly in QuickBooks
    • Produce and send (to HTCs) via email invoices for yearly membership dues
    • Send past due invoices as necessary or requested
    • Invoice manufacturers when necessary
    • Reconcile checking and savings accounts monthly
    • Send monthly reconciliation report and bank statement to Treasurer
    • Send A/P and A/R aging reports to President and Vice President on a monthly basis
    • Assist in putting the annual budget together
    • Produce financial statements (balance sheet, YTD P&L by Class, YTD Budget vs. Actual) each month for board meetings
    • Participate in bi-monthly board calls and assist in keeping the minutes
    • Participate in financial committee meeting calls
    • Assist in external financial statement reviews
    • Submit Maryland annual report
    • Request W-9s when necessary and input information into QuickBooks
    • Produce other financial statements as requested
    • Compile 1099 and 990 information and submit to accounting firm
    • Review 990 and assist with submission to IRS
    • Ensure 1099s get sent to the necessary contractors
    • Ensure 1099s, 1096 and 990 get sent to the IRS
  10. Data Reporting:
    • Data analysis for trending of members purchases.
    • Data analysis for trending member pricing.
    • Data analysis for manufacturer reporting.
    • Data analysis of member savings.

Travel: Light travel to member meetings and other organizational meetings. Must possess a valid driver’s license and be able to travel nationally.

Qualifications/Experience:

  1. Strong analytical, financial and technical skills with databases and spreadsheets.
  2. Understanding the business of the healthcare market.
  3. Ability to work independently and on a virtual team.
  4. While working with a team, must be able to set and organize priorities and adapt to frequent change.
  5. Excellent verbal, written and interpersonal communication skills.
  6. Strong organizational skills.
  7. Highly motivated to use and interact with technology.
  8. Willingness to learn and gain knowledge.
  9. Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, vision, mission, goals, and values of The Hemophilia Alliance.

Preferred Qualifications:

  1. Bachelor’s Degree.
  2. Two or more years’ experience in the bleeding disorders community.
